Mandara Bali · Retreat Ground Support

Your retreat, on solid ground

You're running a yoga retreat, a wellness program, or a facilitator-led gathering in Bali. Your attention belongs to your participants — not to airport transfers, shuttle coordination, or excursion logistics. That's where Mandara Bali comes in.

The logistics your participants never see

A retreat runs on two tracks. The one your participants experience — the sessions, the stillness, the transformation. And the one underneath: who picks them up from the airport, how they get to the shala each morning, what happens on the excursion day, who to call when a flight changes at midnight.

Mandara Bali handles the second track — completely, quietly, and without you having to think about it. We've supported retreat leaders across yoga, wellness, and creative programs in Bali. We know how retreats run, what participants need, and how to stay invisible when everything is working and immediately available when anything isn't.

Based in Ubud. Available island-wide. One contact throughout.

"The logistics were invisible. My participants just felt held — and I could actually be present in the work."

  • We do Airport transfers for the full group — arrivals and departures
  • We do Daily transport between accommodation and venue or shala
  • We do Excursion days — temples, rice terraces, waterfalls, cultural visits
  • We do Restaurant coordination and group dining arrangements
  • We do One point of contact for participants throughout the retreat
  • We do Last-minute changes — absorbed and re-coordinated without the group feeling it

Everything outside your program

Every retreat is different. Group size, accommodation, venue, program structure, excursion days — we shape the support around what your retreat actually needs. These are the components we most commonly handle.

Arrivals

Airport transfers for the whole group

Multi-flight arrivals coordinated as a single operation. Named drivers, clear next steps for every participant, and no one landing in Bali without someone waiting. Departures handled the same way.

Daily transport

Shala and venue shuttles

Morning transport from accommodation to your practice space, evening return, any midday movement the program requires. Consistent, punctual, and sized to the group — one vehicle or several.

Excursions

Off-program days and cultural experiences

Rice terraces, waterfalls, temples, craft villages — approached with local knowledge rather than a tourist route sheet. We arrange these as full-day or half-day experiences that complement the retreat's intention.

Food

Group dining and restaurant coordination

Bali's best restaurants are small. Getting a retreat group seated together — with dietary needs communicated in advance and the right atmosphere — requires knowing where to go and calling ahead. We handle this.

On the ground

The single contact your participants can reach

One Mandara Bali contact available to participants throughout the retreat — for questions, changes, local recommendations, or anything that comes up. This presence removes a layer of coordination that would otherwise fall to you.

When things shift

Last-minute changes, absorbed quietly

A participant's flight changes. Someone needs a doctor. Two people want to arrive a day early. Plans always move. We absorb the change and re-coordinate everything downstream — without the group feeling any of it.

Built for the people running the retreat

Yoga teachers and studio owners

Bringing a group to Bali for a dedicated yoga retreat — whether it's a week-long immersion, a teacher training intensive, or an annual gathering. We handle the ground so you can hold the space.

Wellness facilitators and coaches

Running a program that uses Bali as the container — healing retreats, mindfulness intensives, somatic work. The environment matters; we make sure the logistics support it rather than interrupt it.

Creative and transformational retreat leaders

Writing retreats, leadership programs, identity and reinvention gatherings. Your participants came here to do real work. They need the practical layer handled by someone who takes it seriously.

Retreat organizers bringing someone else's group

You're not the facilitator — you're the person who made it happen. You've promised your group a certain quality of experience in Bali. We're the local partner who ensures you deliver on that promise.

Simple on your side. Thorough on ours.

We don't need a detailed brief upfront. A short conversation — the dates, the group size, the venue area, and what your program structure looks like — is enough to understand what the ground support needs to be.

From there we put a support plan together, confirm what we're handling, and stay reachable from the moment you're planning through the moment the last participant leaves. No handoffs. No disappearing.

You reach out

A brief message — your retreat dates, group size, venue or area, and what kind of support you're thinking you'll need.

02

We talk through the structure

A short conversation about how your retreat runs — arrival days, program schedule, excursion plans, departure. We listen before we suggest anything.

We agree on what we're handling

A clear picture of what Mandara Bali is responsible for — airport transfers, daily transport, excursions, participant contact, all of it confirmed before the retreat begins.

04

We handle it — quietly

One contact, reachable throughout. Your participants feel supported. You stay focused on the work you came to Bali to do.

Tell us about your retreat. We'll take it from there.

Dates, group size, and what the retreat needs to feel like on the ground. That's enough to start. We'll respond within 24 hours — no pitch, no pressure.
