What retreat ground support means

The logistics your participants never see

A retreat runs on two tracks. The one your participants experience: the sessions, the stillness, the work they came for. And the one underneath: who meets them at the airport, how they reach the shala each morning, what happens on the excursion day, and who answers when a flight changes at midnight.

Mandara Bali runs the second track, completely and quietly. We stay invisible while everything is working and are immediately available when anything isn't.

Airport arrivals for the whole group

Multi-flight arrivals at Ngurah Rai (DPS) run as one operation. Named drivers, clear next steps sent before each participant flies, and no one landing in Bali without someone waiting. Departures handled the same way.

Daily transport

Venue and shala transport

Morning transport from accommodation to your practice space, the evening return and any movement in between. Punctual, consistent, and sized to the group, whether that's one car or several vans.

Excursions

Off-program days

Rice terraces, water temples, waterfalls, craft villages, approached with local knowledge rather than a tourist route sheet, and timed around ceremonies and crowds. Half days or full days that suit the retreat's intention.

Dining

Group dinners and restaurants

Many of Bali's best restaurants are small. Seating a retreat group together, with dietary needs sent ahead and the right atmosphere, means knowing where to go and calling in advance. We do that.

A single Mandara Bali contact participants can reach by WhatsApp or email for questions, changes and local advice, which takes a whole layer of coordination off the host.

What does a retreat ground operator do in Bali?

A ground operator runs everything that happens outside your program: meeting every participant at Ngurah Rai Airport (DPS), daily transport between accommodation and venue, excursion days, group dining, departures, and the changes that come up in between. You lead the retreat; the ground operator takes care of everything around it on the island.

Do I still need ground support if my venue offers airport transfers?

Often, yes. Venues are good at what happens on their property. Participants landing on different flights across one or two days, excursion days, restaurant evenings, moves between accommodations and late changes all happen off-property. We can work alongside a venue's own transfer service or replace it, depending on what the retreat needs.

How do you handle participants arriving on different flights?

We plan arrivals as a single operation. Every flight is tracked, every arrival is met in the arrivals hall, and each participant knows before they fly who is meeting them and what happens next. Departures work the same way.

What vehicles do you use for retreat groups?

Private cars for small parties, and Toyota HIACE or HIACE Premio vans for larger groups, each with a dedicated Mandara Bali driver. We size vehicles to the group and the day's movements, not to a fixed package.

Time beyond the booked hours is charged at 10% of the published rate per hour. For retreats we can also quote one per-person, per-day rate that covers all transport for the group's stay.

Which areas of Bali do you cover?

All of Bali. Our office is in Ubud, and we work wherever your group is staying or travelling: the Bukit Peninsula (Uluwatu, Jimbaran, Nusa Dua), the south coast (Seminyak, Canggu, Sanur), and the highlands and east (Sidemen, Munduk, Kintamani, Amed).

How far ahead should I get in touch?

As soon as your dates and venue area are fixed. Transport alone can often be arranged at shorter notice, but early contact means arrivals, excursion days and dinners can be built around ceremony days, holidays and peak season rather than squeezed in later.

What happens if something goes wrong during the retreat?

You and your participants have one Mandara Bali contact, reachable by WhatsApp or email throughout the group's time in Bali. A changed flight, a participant who needs a doctor, or a road closed for a ceremony gets absorbed, and we re-coordinate everything downstream.

Do you work with organizers who aren't the facilitator?

Yes. Many retreats are organized by a company or agent who curates the trip and travels with the group, while we manage all on-island operations in Indonesia. The organizer remains the group's main point of contact; we make the ground work.
